About the Role
The Marketing & Executive Support Coordinator is a hybrid role responsible for driving day-to-day execution across marketing initiatives and executive operations. This role sits at the center of coordination—ensuring campaigns launch on time, events run smoothly, internal priorities stay organized, and leadership operates efficiently. This is an execution-heavy role suited for someone who is highly organized, detail-oriented, and comfortable managing multiple priorities across marketing and administrative workflows.
Key responsibilities include:
Marketing Coordination
Build, schedule, and execute email campaigns (primarily HubSpot)
Coordinate logistics for events, trade shows, and customer-facing initiatives
Manage social media scheduling and basic content publishing
Maintain and update website content, including product listings and landing pages
Support marketing reporting and campaign tracking
Executive Support
Manage executive calendars, scheduling, and meeting logistics
Prepare meeting materials, agendas, and follow-ups
Coordinate internal communications and cross-functional alignment
Assist with travel planning and event logistics
Cross-Functional Coordination
Track project status and ensure deadlines are met across marketing initiatives
Liaise with internal teams (sales, operations, vendors) to drive execution
Maintain organization of shared materials, documents, and workflows
90-day success expectations include:
First 30 Days
Learn XSE Group’s systems (HubSpot, website platform, internal tools)
Take ownership of calendar management and scheduling rhythms
Support execution of existing marketing campaigns and content updates
By Day 60
Independently execute email campaigns and social scheduling
Successfully coordinate at least one marketing initiative or event
Proactively manage executive scheduling with minimal oversight
By Day 90
Fully own day-to-day marketing coordination workflows
Improve organization and efficiency of executive support processes
Identify and implement at least one improvement to marketing or coordination workflows
QualificationsJob Requirements
25 years of experience in a coordination, administrative, or marketing support role
Strong organizational and time management skills with high attention to detail
Experience with marketing platforms (HubSpot preferred) and website content management
Proficiency in Microsoft 365 (Outlook, Excel, Teams, SharePoint)
Excellent written and verbal communication skills
Ability to manage multiple priorities and adapt in a fast-paced environment
High level of integrity and discretion in handling confidential information
Proactive, resourceful, and detail-oriented with a problem-solving mindset
Ability and willingness to work onsite five days per week at our Middletown, CT, offices
Hours are 8 am to 5 pm EST, Monday through Friday
